Refund & Cancellation Policy

This policy explains how paid Planoda subscriptions are billed, how to cancel, and when you are entitled to a refund. It forms part of, and should be read together with, our Terms of Service. Planoda is operated by APIDLY LTD, a company registered in England and Wales (company number 17042735). Payments are processed by Stripe and appear on your statement as “PLANODA”.
1. How billing works
Paid plans are offered on a subscription basis and billed in advance — either monthly or annually, depending on the term you choose at checkout. Subscriptions renew automatically at the end of each billing period using the payment method on file, at the then-current price for your plan, until you cancel. Prices are shown in US dollars (USD) on our pricing page; applicable taxes (e.g. VAT) may be added at checkout based on your location.
2. Cancelling your plan
You can cancel at any time from Settings → Billing inside the app, or by emailing billing@planoda.com. When you cancel:
- Your plan stays active until the end of the billing period you have already paid for — you keep access until then.
- Auto-renewal is turned off, so you will not be charged again for that subscription.
- At the end of the period your workspace moves to the Free plan; your data is retained and you can export it at any time.
3. Refunds
Because plans are billed in advance and you retain access for the period you paid for, subscription fees are generally non-refundable, and we do not provide prorated refunds for partial billing periods after a cancellation. We will, however, provide a refund in the following cases:
- Duplicate or accidental charge — billed twice, or charged after a confirmed cancellation.
- Billing error — charged the wrong amount or on the wrong plan through our fault.
- Annual plans, within 14 days — if you contact us within 14 days of the initial purchase or renewal of an annual plan and have not made substantial use of the paid features, we will refund that charge at our discretion.
- Where required by law — nothing in this policy limits any statutory refund or cancellation rights you may have as a consumer under applicable law (for example, UK/EU consumer legislation).
Approved refunds are issued to the original payment method via Stripe and typically settle within 5–10 business days, depending on your bank.
4. Usage-based charges
Some features (such as AI usage beyond your plan’s included monthly allowance) are billed based on actual usage. Usage-based charges reflect services already consumed and are non-refundable except where this policy or the law provides otherwise. Your included allowance and any overage rate are shown on the pricing page and in your in-app billing settings before you incur additional usage.
5. Disputes & chargebacks
If you believe a charge is incorrect, please contact us first at billing@planoda.com — we aim to resolve billing questions within two business days, which is faster than a bank dispute. Opening a chargeback without contacting us may result in temporary suspension of the affected workspace until the dispute is resolved.
